Not long ago, bot-free capture was the clearest differentiator. That is no longer true. Fireflies.ai supports botless recording through its Desktop App on Windows 10+ and macOS 12+, and the same is true across Otter, Notta, Fathom, tl;dv and Grain. If the selection criterion is simply “which tool avoids adding a bot participant,” that part of the market has caught up.
A more practical question is what happens to the audio, and what a team receives after the call. Bot-free only removes the extra attendee from the meeting roster. It does not automatically mean audio stays on the device. For agencies and consultants working with sensitive client discussions, that difference still separates these products, and Notta is the only option in this set with a supported local, on-device transcription mode.

All products on this list can keep a bot out of the meeting. Notta’s differentiation shows up one layer deeper. Notta Desktop enables standard Bot-Free capture on Mac and Windows across 40+ meeting apps, recording system audio and microphone input without introducing an extra participant. In that standard mode, the audio is still uploaded encrypted for cloud transcription. Privacy Mode is the distinct option: it uses an installed offline model to transcribe directly on the device, with recordings remaining local.
Privacy Mode is a capability that needs validation rather than assumption. It requires a Pro, Business or Enterprise plan, works only inside Notta Desktop, depends on an offline model installed locally, and supports English, Japanese, Simplified Chinese and Cantonese, extending to eleven languages through Apple Speech Analyzer on macOS 26 and later. It is enabled at the app level rather than per recording. While active, it pauses or limits cloud transcription, cloud AI summaries, cross-device sync and team collaboration. The second major separator is capture coverage, because client work frequently extends beyond video calls. Notta supports in-person capture through mobile apps, Apple Watch recording and Notta Memo, a pocket-sized recorder that syncs into the same workspace. It also supports direct file and link upload, plus screen recording on paid plans. Language support follows a similar theme: Fireflies leads on raw language count, but Notta’s bilingual transcription in 23 languages and real-time translation in 80 are designed to operate during the call, not only after it ends.
tl;dv includes a native bot-free desktop recorder, positioned as a deliberate alternative to bot capture. It offers a clear choice between an Audio-only mode with no notetaker participant and a standard bot mode. Because it can record whatever audio the device plays, it can extend to calls a bot cannot reliably join, including Slack huddles and other audio contexts, which has become more relevant as Google Meet tightened its handling of third-party bots. Its transcription language coverage is 30+, which is the narrowest number in this group rather than the broadest.
Fathom provides both bot and bot-free capture in a single app, and that choice remains available even on the Free plan. Its bot-free option is a Mac-only beta, and neither capture mode is presented as local processing. The free tier stands out for straightforward capture: unlimited recordings, transcription and storage. More advanced summary functionality sits on Premium, and account-wide Ask Fathom is a beta with limited lookback on team calls. CRM behavior also requires careful reading: basic sync, where summaries are pushed into a CRM, is capped at three users per domain on the plans that include it, while field sync into named fields, Deal View and coaching metrics require Business.
Otter is the best-known name in this set, and it also supports bot-free capture: the desktop app for macOS 12.3+ and Windows 10+ records without the Notetaker joining across Slack huddles, Zoom, Google Meet and in-person conversations.
CRM sync is no longer restricted to Enterprise. Synced Salesforce or HubSpot notes begin at Pro for one user, expand to five on Business, and become unlimited on Enterprise, although Otter Sales Notetaker and Assist live coaching still require Enterprise. For client work, the main constraint is usage metering. The Free plan caps usage at 300 minutes per month with a 30 minute per conversation limit and three lifetime file imports, while Pro provides 1,200 minutes with no rollover and a 90 minute per meeting limit.
Grain is designed around a different output. Instead of centering the full transcript as the primary artifact, it is optimized for shareable clips of key moments, such as an objection, pricing question, or positive feedback, that can be attached to a CRM record. Desktop Capture is available on the Free plan, so bot-free recording can be used without paying, although that tier caps meetings at 45 minutes and limits history to 30 days. CRM integration is on Business, along with AI coaching, trackers and team interaction metrics.
Fireflies remains a strong fit when its distinctive strengths match the team’s priorities. Voice Agents has no direct equivalent in this set for autonomously running structured calls, its 100+ languages lead on raw coverage, AI Skills supports templated extraction against frameworks like BANT or MEDDIC across repeated meeting types, and its 100+ integrations plus thirteen-platform CRM list are the broadest here.
Notta stands out when the decision criteria are different: when audio must remain on the device rather than reaching any vendor cloud, when client conversations occur in person as often as on calls, when live bilingual transcription or real-time translation is needed during the meeting, or when meetings must be turned into client-ready documents without a manual rewrite step.
Not by itself. Fireflies supports botless recording through its Desktop App, and Otter, Notta, Fathom, tl;dv and Grain also provide bot-free modes. The differentiators now tend to be where audio is processed, how many capture paths a tool supports, and the quality and usability of what it produces after the call.
No, and mixing the two is the most common error in this category. Bot-free means there is no added participant in the attendee list. In most tools, the audio is still uploaded to a vendor cloud for transcription and AI processing. That is how Fireflies’ Desktop App, Otter’s desktop app, Fathom’s bot-free mode and Notta’s standard Bot-Free mode work. Only local processing, such as Notta’s Privacy Mode on supported plans, platforms, models and languages, keeps audio on the device.
Yes. Removing the bot does not remove legal, contractual or organisational requirements. Recording laws differ by jurisdiction and many require consent from all parties, and client contracts and employer policies can impose additional standards. Fireflies’ desktop documentation places responsibility on users to follow local recording laws and to notify participants, which is why the app displays an indicator during botless capture, and Otter’s documentation makes the same point. Confirm the applicable law and client policy, disclose that recording is occurring, and treat this as guidance rather than legal advice.
The key step is confirming support for the specific setup. Notta’s Privacy Mode depends on plan, operating system, installed model and language, so all four should be verified before a confidential engagement, along with what the mode disables since cloud AI summaries and sync pause while it runs. A low-stakes test call is worth doing before relying on it in production.
Bot-free capture is not a differentiator anymore. Fireflies supports it, and every alternative above offers it as well, so selecting purely on “no bot in the call” ends up selecting on table stakes.
